Privacy policy
Last updated October 9, 2026
Traversing.ai provides AI technology for hotels and hospitality businesses. This policy explains how we handle personal information connected with our website, business inquiries, communications, and services. It also explains your choices and how to contact us about privacy.
Scope and responsibilities
For website inquiries, newsletter subscriptions, and our own business relationships, Traversing.ai determines why and how personal information is used. Where applicable law uses these terms, we act as the controller or business for those activities.
Hotels may use Traversing.ai to support guest conversations, reservations, and staff workflows. When we process personal information on a hotel’s behalf, the hotel’s instructions, service agreement, and applicable data-processing terms govern that processing. The hotel’s own privacy notice explains its purposes and legal basis. If your question concerns a hotel stay, reservation, or guest conversation, contact the hotel first. We can help route requests concerning information processed through our services.
This website policy does not replace a hotel’s privacy notice or the terms of a separate account, booking platform, or third-party service.
Information we collect
We collect information you provide and information generated when you use the website or services. Depending on the interaction, this may include the following.
- Contact and inquiry information. Your name, email address, hotel or company, role if provided, interests, messages, and correspondence. Our introduction form also asks for property type, room count, and property management system.
- Newsletter information. Your email address and subscription or unsubscribe choices.
- Privacy requests. Your contact details, request type, and the information you choose to include in a request.
- Technical and activity information. IP address, browser and device information, approximate location derived from technical information, referring pages, campaign information, pages visited, and website interactions. Website measurement can include company attribution associated with visits.
- Service information. Depending on the hotel’s configuration and contracted services, information processed on its behalf may include guest contact details, reservation and stay details, conversation transcripts, messages, service requests, and related operational information. Voice recordings may be involved when recording is enabled for a particular workflow; applicable notices and recording requirements depend on that workflow.
Please do not send payment-card details, passport copies, account passwords, medical information, or other sensitive information through this website’s inquiry or privacy-request forms. A hotel or service may have a separate process for information needed to fulfill a booking or guest request.
How we use information
We use information for the following purposes, as relevant to your interaction.
- Answer inquiries, arrange introductions or demonstrations, and manage business relationships.
- Send newsletters you request and manage subscription preferences.
- Provide and support the services a hotel has contracted with us, including processing guest conversations and reservation-related workflows under its instructions.
- Understand website visits and interactions, evaluate content, and improve the website and services.
- Operate the website, maintain security, investigate misuse, and resolve technical problems.
- Handle privacy requests, comply with applicable obligations, and establish, exercise, or defend legal claims.
Automated tools may be used to support hotel conversations and workflows. The data involved and the role of automation depend on the service and hotel configuration. Ask the relevant hotel or contact us for information about a particular workflow. Cookie consent on this marketing website is not permission to use hotel guest information for unrelated purposes, and it does not set the terms for AI-model training or other processing under a hotel’s service agreement.
Legal bases where applicable
Where laws such as the GDPR or UK GDPR apply, processing requires an applicable legal basis. Depending on the activity, that basis may be your consent, steps you request before a contract or performance of a contract, compliance with a legal obligation, or legitimate interests such as operating and securing our website, responding to business inquiries, and improving services, subject to your rights.
We request consent for the optional Google Analytics, visitor-identification, and embedded-video services described below. You may withdraw that consent without affecting processing that was lawful before withdrawal. For hotel-controlled information, the hotel determines the applicable legal basis and any required notices or consent.
Sharing information
Information may be disclosed to the following recipients when needed for the purposes described in this policy.
- Service providers. Providers that support website hosting, form storage and delivery, communications, analytics, security, and contracted service operations. Our Ploy-hosted website uses Ploy for hosting and form handling and, only if you allow visitor identification, for website measurement and visitor/company identification. Submitted forms are stored and emailed to designated workspace recipients. Google receives optional analytics information when you consent. Vimeo receives information when you permit and load an embedded video.
- Hotels and authorized service partners. The hotel using the service and partners or systems involved in a workflow, where required by the hotel’s configuration and instructions.
- Legal and safety recipients. Authorities, advisers, or other parties where disclosure is required by law or appropriate to address fraud, security, safety, or legal claims.
- Business transaction recipients. Parties involved in a proposed or completed merger, acquisition, financing, reorganization, or asset transfer, subject to applicable protections.
- Recipients you authorize. A third party you ask us to share information with.
External websites and services have their own privacy policies. Following a link to a social network, account portal, or external video site takes you to that provider’s service. A website cookie choice does not control a provider’s separate website.
Cookies and website measurement
Cookies and similar technologies can store or access information on your device. This site’s Cookie settings let you accept or reject optional services separately. All optional categories are off until you make a choice. Browsing, scrolling, or submitting an inquiry does not count as acceptance.
Necessary preference storage
The first-party traversing_cookie_preferences cookie records your analytics, visitor-identification, and external-video choices, the policy version, and the times the choice was saved and will expire. It does not contain your email or an advertising identifier. It lasts 180 days on the browser and host where you made the choice, unless you clear it sooner. We use it to remember your decision, including a rejection. An expired or invalid choice does not enable optional services.
Optional analytics
If you allow optional analytics, Google Analytics can receive page visits and interaction events and store identifiers in cookies such as _ga and _ga_*. Google Analytics uses these identifiers to distinguish browsers and measure activity. Google’s cookie lifetimes depend on its configuration and may be renewed by subsequent visits; see Google’s cookie information and Google’s privacy policy.
Rejecting optional analytics keeps consent to the Google Analytics destination off. Withdrawing consent updates that destination and clears accessible Google Analytics cookies on this site’s host and parent domain. It does not delete information already received by Google or cookies on websites we do not control. If your browser sends Global Privacy Control, this site keeps optional analytics off, including when an earlier choice allowed it.
External video
The embedded demo uses Vimeo. Its player loads only after you allow external video and press Play. Loading the player sends information such as your IP address and device details to Vimeo, which may use cookies or similar technologies. We request Vimeo’s do-not-track mode, but this does not prevent the network connection needed to play the video. See Vimeo’s privacy policy. Withdrawing external-video consent removes an active player. You can also follow the external viewing link without enabling an embedded player on this site.
Visitor identification
If you allow visitor identification, Ploy, our website provider, records your visits and interactions on this site, such as pages viewed, clicks, scrolling, and form activity, with technical information such as IP address and device details. It stores a browser identifier in the ploy_anon_id cookie, which lasts up to one year, and in browser-storage entries whose names begin with ploy_. Ploy may match visits to companies and, where available, individual business contacts using third-party data, so our team can understand interest from hotels and follow up.
Until you allow visitor identification, this site does not load Ploy’s measurement script, set these identifiers, or send website activity to Ploy for measurement or identification. Rejecting, withdrawing consent, or sending Global Privacy Control keeps it off. When you withdraw consent, the site deletes these identifiers from your browser and reloads the page without the script. To request deletion of information Ploy already received, use the privacy-request form below.
Google Analytics data passes through Ploy’s script, so optional analytics runs only when visitor identification is also allowed.
Hosting and operational processing
Ploy processes hosting, security, and form-handling information needed to deliver the website and your submissions, whatever your cookie choices. Contact us if you wish to object to processing or exercise a privacy right concerning that information. We assess the request under applicable law.
The website and the server that delivers its fonts and images (cdn.ploy.ai) use Cloudflare for security. Cloudflare may set a __cf_bm cookie on www.traversing.ai and on .ploy.ai to help tell people from automated traffic. It expires after 30 minutes of inactivity and is set whatever your cookie choices, because the site needs it to load securely. It is not used for visitor identification, analytics, or advertising. See Cloudflare’s cookie information.
Changing your choice
Use Cookie settings in the footer to change or withdraw consent at any time. You can also delete cookies or block storage using your browser. If storage is blocked, optional services remain off and we may ask for your choice again. A choice is specific to this browser and website host; it does not automatically apply to another device, subdomain, a hotel’s website, or an external service. We will request a new choice if these consent categories materially change.
Retention
Retention depends on the type of information, the purpose for collecting it, service agreements, and applicable legal requirements. Relevant factors include an active business relationship, unresolved requests, security needs, statutory recordkeeping duties, and legal claims. Information should be deleted or de-identified when it is no longer needed for the applicable purpose, subject to lawful exceptions and backup-handling requirements.
Hotel-controlled information is retained under the hotel’s instructions and applicable contractual terms. The website preference cookie lasts 180 days; this is not the retention period for inquiries, analytics records, or hotel-service data. Contact us for retention information relevant to a specific record or workflow.
International processing
Our website and service providers may process information in countries other than the country where you live. Those countries may have different data-protection laws. Where applicable law requires a transfer mechanism or other safeguards, the relevant transfer must be subject to those requirements, which may include an adequacy decision or standard contractual clauses. Contact us to ask about the locations and safeguards relevant to a particular service.
Security
No website, communication channel, or storage system can be guaranteed completely secure. Security arrangements depend on the website provider and the contracted service. Avoid sending unnecessary sensitive information through open inquiry forms, and contact us if you suspect unauthorized access or misuse. We can provide service-specific information about applicable technical and organizational protections on request.
Your privacy rights and choices
Depending on your location and the applicable law, you may have rights to request access to or a copy of personal information, correct inaccurate information, delete information, restrict or object to processing, obtain portable information, or withdraw consent. These rights may be subject to exceptions, verification, and limits.
Residents of California and other US states may have additional rights, where the relevant law applies, including information about categories of data and recipients, an opt-out of sale, sharing, or targeted advertising as defined by that law, limits on certain sensitive-information uses, and an appeal of a denied request. Not every right or statute applies to every activity. You may make an applicable request without unlawful discrimination for exercising your rights.
The current website has no Meta Pixel or Google Ads destination configured. This does not, by itself, determine whether any disclosure qualifies as a sale or sharing under a particular law. To raise a sale, sharing, targeted-advertising, or other privacy objection, use the privacy-request form below. Global Privacy Control also keeps this site’s optional analytics and visitor identification off.
You can unsubscribe from newsletters using the instructions in the message. Essential replies concerning a request or an active business relationship may still be sent. Where applicable, you may complain to your local data-protection authority, including an EEA supervisory authority or the UK’s Information Commissioner’s Office.
Children
This business website is intended for hotel and hospitality professionals, not children. If you believe a child has submitted personal information through the website, contact us so we can review the situation. Guest information processed for hotels is governed by the relevant hotel’s policies and service arrangements.
Changes to this policy
We may update this policy as our website, services, providers, or legal obligations change. We will update the date above and provide additional notice or request fresh consent where required. The version published on this website is the current website notice.
Contact us about privacy
Use the privacy-request form below to contact Traversing.ai about this policy or your personal information. Include enough context to identify the relevant interaction, but do not include passwords, identity documents, payment details, or sensitive guest records. If verification is necessary, we will explain the next step rather than asking you to attach identity documents here.
We review requests under applicable law and may need to verify your identity or your authority to act for someone else. If a hotel controls the information, we may direct you to that hotel or assist it in responding. For a denied request, you may ask for an appeal or further explanation where applicable.
Send a privacy request
We use these details to review and respond to your request. Submitting a request does not subscribe you to marketing.
